The Purchasing
Department is responsible for the acquisition of goods and
services for Cincinnati Public Schools. The department also
manages the information that is included in the formal bid
process required by the Ohio Revised Code. There is no
purchasing Web site at the moment.
PURCHASING
THRESHOLDS Over $15,000 - Requires a formal
bid.
VENDOR REGISTRATION Interested vendors
should submit to the Purchasing Office a letter on company
letterhead, describing the product and the company's terms of
business. Pamphlets about the product can also be
sent.
The district is eligible to purchase from Ohio
statewide contracts. The first step before a supplier does
anything else is to register with the state online. Registration gives suppliers
the chance to receive competitive bid documents in the mail
and avoid the need to constantly monitor the IT bid
website.
BID ADVERTISEMENT Bids are listed as
legal notices in local newspapers, the Enquirer and the
Herald, and are subsequently available for pick up at the
Purchasing office.
The district lists current open

icon.)
Statewide RFPs and bids can be downloaded from
the Data Processing and Telecommunications section online.
CONTRACTS The
district uses state contracts for purchases if the state has
contracted for a price lower than the district may obtain.
State Term Schedules are established for data processing and
telecommunications accessories and support equipment and are
available online.
COOPERATIVE
PURCHASING AGREEMENTS It's also important to realize
that the State Purchasing Office is not responsible for IT
purchases. So even though vendor registration information goes
through that office, it does not mean that they are posting
any IT-related bids and RFPs - that is the responsibility of
the Acquisitions Management
Unit.

Overview The
Management Information Services Department is
responsible for computer operations, administrative and
educational systems development and maintenance,
technical support and data security. MIS sets technology
standards for the district. Bid requirements must be
reviewed by the department before a bid is
released.
The Office of Educational Technology
resides in MIS. This office provides support for
classroom use of information and related technologies.
Major initiatives of this office include a program to
provide computers to every elementary classroom,
coordination of E-rate, and development of the
district's Web site.
The MIS units
work very closely together to establish technology
policies and standards, such as computer minimum
specification requirements and acceptable Internet
usage. Software used in the classrooms and
administrative software is selected by the MIS
Department. Teachers who wish to purchases software must
contact MIS so a technician may determine if the
software is compatible with the network.
The
teachers are responsible for choosing what software best
meets their curriculum. There are also standard software
packages loaded onto all classroom terminals. A majority
of the existing software was selected by the
Instructional Technology department five years ago.
Purchasing Thresholds Over $3,000 -
Schools and departments must obtain at least three
quotes. Over $5,000 - A formal bid must be
released. $6,000-$25,000 -Requires formal bid process
and purchase must approved by the CEO. Over $25,000 -
requires board approval and formal bid
process.
Vendor Registration Vendors
interested in registering with the district may mail a
request to the purchasing department, including a
listing products and services offered, and the company's
tax ID number. Purchasing will mail all forms for
